Roles & Responsibilities

Crew Matrix

  • Check and update matrix on Q88 website every week and whenever matrix is requested – For 10 technical vessels
  • Cross-check onboard crew details with shipmate & crew change excel to update weekly.

Sending Allotment Register

  • Send the allotment register(PDF) received to all vessels every month.

Pre-Joining Briefing

  • Create a briefing schedule and send out briefing materials to the crew, create a briefing link and coordinate with several departments for their availability for the briefing.
  • Monitor the briefing from start to finish, ensuring all parties join on time and follow the schedule accordingly.

Evaluation Reports

  • Once received evaluation reports, put it in the SharePoint folder and send to the respective PICs for signature.
  • Once signed will sort and send to the different manning offices to get it uploaded on Shipmate.

Sending of certs/documents

  • Monitor/coordinate for the timely dispatch of crew mails and crew licenses/documents to the vessels.

LOI for Romanian and Chinese officers

  • Provide US VISA application LOI to manning office for Romanian and Chinese officers.

Request monthly report and save in E-Filing by 5th of every month;

  • Crew Health Check Records / Sickness and Injury reports / STCW monitoring reports for vessels

Crew Mail

  • Assist in mailing documents/certificates/magazines/uniform etc. to vessels/manning office whenever required.

P&I COC (Yearly in February)

  • Check with owners for the COC certificate, check thoroughly upon receiving.
  • Print the COC received and get management’s signature.
  • Send out the signed scanned copies.

Christmas Gifts (Yearly)

  • Check with PIC on the vessel schedule and port call and liaise with the supplier and port agent accordingly to send the gifts sent to the vessel.
  • Update crew certificate information from Master and/or manning office.
  • Perform other administrative & support duties as maybe directed by the Management.
  • Any other ad-hoc duties as assigned from time to time.

Requirements

  • Minimum Diploma in Human Resources, Business Administration, Maritime Studies, or a related field.
  • 1-3 years of experience in an administrative or operations role, preferably in the maritime industry or HR department.
  • Experience with crew management systems such as Shipmate or similar crew management software.
  • Familiarity with crew matrix management and crew change procedures.
  • Experience handling administrative tasks such as report preparation, filing, and document management.
  • Fresh graduates are welcome
